Our deep industry expertise coupled with in-house implementation, delivery and training services makes Vistex a full solutions resource and consultancy.Vistex Administrative Assistant, Human Resources is a positive, professional, reliable, flexible, and detail-oriented individual who will perform a range of duties supporting of HR and administrative, support of daily operations and facility needs, etc.Responsibilities:

  • Coordinate all Domestic and International travel arrangements including booking of flights, hotels, rental car, etc.
  • handles all matter expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
  • General office management
  • Screening phone calls
  • Calendar coordination
  • Managing expenses
  • Event planning
  • Administrative / Human Resources tasks
  • Managing research projects
  • Coordinate courier services (Notary office, Customers, post office, etc.)
  • Maintain organized office archive (Contract, Employees documents, Partners, Vendors, CV’s, Payments, etc.)
  • Assist and provide documentation to new suppliers and customers
  • Assist with the setup of meetings, scheduling of conference rooms; other administrative tasks as needed
  • Update and maintain databases such as mailing lists, Vendors List, Staff list, contact lists and Customer information
  • Purchase office supplies and stuffs such as cleaning materials, grocery, etc. Check goods and orders to be sure they have been received.
  • Office maintenance, calling for repairs; maintaining equipment inventories (Air conditioner, Cleaning, plumber, Electrician, etc.)
  • Interaction with suppliers and vendors (Giveaways, booth art decoration, graphics requests, etc.)
  • Monitor training programs to ensure that training objectives are met
  • Provide holiday gifts to all customers.
  • Employees birthday / Gift set / anniversary list
  • New hire swag
  • Manage Cleaner company, schedules, duties, etc.
  • HR and office monthly bills manage and send to Accounts payable.
  • Occupational Health obliged to all employee, also documentation such as PPRA, PCMSO, NR1
  • Management / Interaction benefits Vendors (Health insurance, Life insurance, Dental insurance, Meal voucher, Grocery Voucher)
  • Contributing to team effort by accomplishing related results as needed.
  • Performing other duties as assigned.
  • Preparation of new hire materials
  • Review and update admin / HR procedures to fit company needs
  • Other duties as assigned

0 years: • Fluent English skills.
0 years: • Ability to work and collaborate with colleagues of all levels throughout the organization
0 years: • Super organization skills with the ability to prioritize multiple functions and tasks while managing his/her workflow efficiently
0 years: • Experience with International travel as well and global time zones.
0 years: • Familiarity/experience in a professional services firm (e.g., consulting, legal, etc.)
0 years: • Excellent written and oral communication skills, including the ability to effectively present complex ideas to diverse audiences
0 years: • Strong planning and time management skills
0 years: • Demonstrated proficiency using common desktop applications such as Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe, and shared internal drives
0 years: • The ability to always represent Vistex both internally and externally in a professional manner.
